A declined payment is a symptom, not a diagnosis. First identify whether the merchant rejected the card details, the issuer declined an authorization, authentication failed, or the purchase is actually pending. Each situation calls for a different next step.
Save the exact error message and the time of the attempt. Repeatedly pressing “Pay” without changing anything usually gives you less useful information than one careful investigation.
First separate declined, pending and refunded
Compare the merchant's order status with the card transaction history. A pending authorization is not the same as a settled purchase. If funds appear reserved but the order failed, ask the merchant and card provider about that specific authorization rather than immediately creating another order.
Similarly, a merchant saying it issued a refund does not necessarily mean the credit already appears on the card. Record the refund reference and ask for the expected process. Do not invent a universal release or refund deadline: it depends on the transaction and the involved providers.
Work through the likely causes
Start with the checks you can complete without another payment attempt:
- Card state: is it active, unexpired and available for this type of payment?
- Available funds: is enough available in the billing currency, considering existing reservations and applicable charges?
- Details: do the number, expiry and requested billing details match the records? Use genuine details; do not substitute a made-up address.
- Controls: could an amount limit, merchant-category restriction or other rule prevent the payment?
- Authentication: did the checkout request a confirmation you did not receive or complete?
- Merchant compatibility: does the merchant accept this card type and billing arrangement in your account's country?
Payment processors distinguish causes such as insufficient funds and required authentication. Their public codes help explain the categories, but they are not necessarily the codes used by AIHUB. Stripe's decline-code reference.
Decide who can resolve the problem
If the merchant will not accept the card type, adding more funds will not change that rule. Ask the merchant which legitimate payment options are available.
If the available balance is too low, first calculate the shortfall and any applicable funding costs. If the card is restricted or the issuer returned an unexplained decline, contact the card provider. If the problem occurred during authentication, describe that step clearly instead of reporting only “payment failed.”
Retry only after identifying a reasonable change or receiving instructions. Changing identity details, repeatedly opening accounts or concealing your location is not a reliable troubleshooting method and may conflict with service rules.
Send a useful support request
Use this short template:
“I attempted a payment to [merchant] for [amount and currency] at [time and time zone]. The merchant displayed [exact message]. The card history shows [status or no entry]. The card ending in [last four digits] is [active/frozen]. I have already checked [specific checks]. Please identify the next step and whether an authorization remains pending.”
Remove unnecessary personal data from screenshots. Never include the full card number, security code, passwords or wallet recovery phrase. Use only the provider's verified channel.
Prevent the next interruption
For an essential subscription, record its renewal date, currency, responsible person and approved backup payment option. For advertising, check the platform's billing rules before selecting a card. A successful small purchase elsewhere does not prove acceptance for a different merchant or recurring charge.
